Mailbox delegation vs Send As: when to use which

Published Feb 3, 2024 • Updated May 1, 2026

Overview

Delegation lets User A open/manage User B’s mailbox; Send As sends as another identity. Confusion causes compliance violations.

Delegation

Executive assistants, shared inbox triage—Full Access + Send As or Send on Behalf as needed.

Send As

Service accounts, automated responses that need consistent sender identity—limit who has permission.

Auditing

Review permissions quarterly; remove stale delegates when staff depart.

Security

MFA on all delegates; warn against personal devices accessing executive mailboxes without MDM.
